Office Administrator

Job Description:

We are seeking a highly organized and detail-oriented Office Administrator to join our team. The ideal candidate will be a proactive and resourceful individual who can manage a variety of administrative tasks, ensuring the smooth and efficient operation of our office. This individual will play a key role in supporting our project management team, facilitating smooth communication between accounts and project managers, and assisting with proposal management, scheduling, and various administrative tasks. The ideal candidate will have significant experience in administrative roles within the engineering or construction industry, with proficiency in key software tools including Google Workspace, Microsoft Office, Excel, Bluebeam, and familiarity with development features in Office programs.

Key Responsibilities:
Office Management: Maintain a clean, organized, and well-stocked office environment. Manage office supplies, including ordering, inventory control, and budget tracking.Handle incoming and outgoing mail, packages, and deliveries. Manage and maintain office equipment (e.g., printers, copiers).
Administrative Support: Provide administrative support to senior management and other staff members. Manage calendars, schedule appointments, and coordinate meetings. Prepare and distribute meeting agendas, minutes, and other documents. Handle phone calls, emails, and other correspondence professionally and efficiently. Organize and maintain electronic and physical filing systems.
Communication and Customer Service: Act as the first point of contact for visitors, clients, and vendors, providing excellent customer service. Answer and direct phone calls and emails promptly and professionally. Maintain positive relationships with internal and external stakeholders. Communicate company policies and procedures.
Financial Administration: Assist with basic bookkeeping tasks, such as processing invoices and expense reports. Track and reconcile office expenses. Assist with budget preparation and monitoring.

Qualifications:
◘ Proven experience as an Office Administrator or in a similar administrative role.
◘ Strong organizational and time-management skills.
◘ Excellent communication and interpersonal skills.
◘ Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). 
◘ Ability to multitask and prioritize tasks effectively.
◘ Problem-solving and decision-making skills.
◘ High school diploma or equivalent; associate’s or bachelor’s degree preferred.
◘ Experience with office management software is a plus.

Prefered Qualifications:
◘ Experience with proposal management or contract administration.
◘ Familiarity with accounts payable/receivable processes in a project-based environment.
◘ Ability to work in a fast-paced, dynamic work environment.

Benefits: Hybrid work model (3 days at the office, 2 days at home or strictly office, plus site travel).
